Run the countdown to event day

Build the before, day-of, and after messages around one date, once.

What this helps you do

An Event Campaign is a set of messages built around one fixed date. You set the event date once and add messages timed relative to it: days or hours before, at event time, and after. The Hub schedules them all, and if the date moves, every upcoming message moves with it. This is the arc every event shares, prepared while you still have time to write it properly.

When to use it

Use it for the planned arc: save the date, travel and accommodation, know-before-you-go, parking and arrival, doors open, the event-starting reminder, and the thank-you and follow-up after everyone goes home, including the invitation to the next edition where consent permits.

How to do it

  • Open Campaigns and choose New Event Campaign, and set the event date once.
  • Name it and pick the audience, or run one campaign per day or track when the arcs genuinely differ.
  • Add messages timed before the event (save the date, travel details, know-before-you-go, parking and arrival), at the hour (doors are open, here is today's schedule and where to find help), and after (thank you, photos, survey, next edition).
  • Review the timeline and the credit estimate, then Activate. Nothing sends from a draft.
  • If the date moves, use Change event date: upcoming messages are rescheduled; messages already sent do not change.
  • For same-moment updates such as a weather hold, a gate change or a delay, send a regular Blast to the affected audience instead. The campaign carries the plan; Send carries the surprise.

Example

For race weekend you set the date, then add a save-the-date a month out, packet-pickup details a week before, parking and corral instructions two days before, a race-morning message at 5 a.m., and a results-and-thank-you the next day. When the city moves your road closure, you change one date and the pending messages reschedule themselves.

Good to know

  • An attendee who connects midway only gets upcoming messages, never the reminders that already passed, so late registrants are not confused by a save-the-date for a race they already entered.
  • Audience membership is checked at send time, so people who connect after you activate the campaign are included in everything still to come.
  • The post-event messages matter as much as the reminders: the thank-you, the photos and the survey are what make next year's audience.
  • Inviting this year's attendees to next year's event is a consent question. Say at enrollment that you will send news about future editions, and honour a mute or a disconnect.
