What this helps you do
Invite the people who send and give each one the right access. Each person signs in as themselves, so the audit trail shows who sent what. Owner and Admin reach every audience; a Site or Department Lead (the Hub's Leader role) sends to, and reads replies from, only the audiences you grant; a Viewer reads along without sending. A passkey confirmation is asked when anyone sends to All Employees from Send, when someone downloads the people export, and when the owner leaves the Hub.
- Owner: everything, including billing, the Blasts account connection, and leaving the Hub.
- Admin: every audience, team management and integrations; no billing or account connection.
- Site or Department Lead: sends to, and reads replies from, only the audiences you grant.
- Viewer: read-only reports and history.
When to use it
Use roles as soon as more than one person sends: when a site lead should run their own site's notices, when HR should own deadlines and policy dates, or when an executive wants to read along without sending.
How to do it
- Open Team.
- Invite a person by email and pick a role.
- For a Site or Department Lead, choose which audiences they can send to and which replies they can read.
- Review Access requests: nobody gets in unless you approve, and you pick the role first.
- Leader approval is off by default for companies. Turn it on in Settings if several leads share the channel and an administrator should review their notices first.
- Add a passkey on Home so the confirmation for an All Employees send uses Face ID, Touch ID or your device PIN.
Example
The owner invites the North Yard site lead as a Site or Department Lead granted North Yard and North Yard Night Shift, the HR partner as an Admin, and the chief of staff as a Viewer. The site lead sends the yard's closures alone; HR sends the benefits deadline to All Employees and confirms with a passkey.
Good to know
- These roles decide who may send and read replies in the Hub. They are not job titles or employment records, and nothing here changes anyone's access in your other systems.
- There is no built-in safety, HR or security role: grant a safety lead the audiences they send to, the same as any lead.
- Changing a role or removing someone does not ask for a passkey confirmation. Content Series, Journeys, Event Campaigns and recurring Blasts don't ask either, even when they go to All Employees, so decide carefully who may create them.
