What this helps you do
Audiences group your employees so a notice reaches the people it concerns. You always have one All Employees audience that reaches everyone connected and cannot be deleted. Onboarding seeds a small set of starter audiences you can rename, archive or replace, including an Emergency audience for the notices that must not be routine. Open audiences appear as choices on each employee's preferences page; closed ones such as your managers list or Emergency are yours to assign and are never shown to staff.
When to use it
Use audiences whenever a message concerns one site, one shift or one department: a closure at the east plant, coverage for the weekend shift, a building-access change for the field team, a planned system outage for the people who use that system, a managers-only note before an announcement goes company-wide.
How to do it
- Open Audiences.
- Create audiences named the way your people talk about them: Warehouse, Field Team, Night Shift, Leadership, East Plant.
- Choose how people join each one: employees choose it themselves, the company assigns them, or either. Set your managers list and Emergency to company assigns.
- To group people inside a larger audience, set Inside audience to a parent, for example Night Shift inside Warehouse. A child audience only accepts people who are in the parent.
- Assign people from Connections, one at a time or with Bulk assign after a roster import.
- Decide per audience whether replies to its Blasts are allowed. Leave replies on for anything that asks for coverage or a headcount.
Example
You create a Warehouse audience set to company assigns and a Night Shift audience inside it. When the loading dock closes at 5 a.m. for a repair, the operations lead sends to Night Shift only; the 600 office employees never see it. The open-enrollment reminder the same week goes to All Employees, and the ice-storm closure that Saturday goes to Emergency.
Good to know
- Sending to All Employees, or to the Emergency audience, asks for a step-up confirmation first.
- Audiences are lists that people choose or you assign. There are no rule-based or dynamic audiences, so a department column from HR does not fill an audience by itself; import it, then Bulk assign.
- Department managers can be limited to their own audiences on the Team screen, both for sending and for reading replies.
- Archive an audience when a project or site winds down; the connections stay.
