What this helps you do
Many membership organizations hold annual meetings, nominations and elections. The Hub can tell members that one is happening: the dates, the agenda, the position descriptions, and the link to wherever the organization actually runs the process. It is communication and nothing more. It does not collect, hold or count votes, it is not a ballot, proxy or election system, it doesn't decide who is eligible, and it makes no claim about satisfying any notice requirement in your bylaws or in law. Whoever advises your organization on those requirements still decides what counts as notice.
When to use it
Use it when a nomination window opens or closes, when a meeting's time or place changes, when the agenda and papers are posted, when results are published, or when leaders want a plain note to members after a decision.
How to do it
- Write the message as a normal Blast and link to the agenda, the papers or the position descriptions on the member site. An attached file reaches people on Blasts only.
- Pick the audience it concerns: All Members for an organization-wide meeting, one chapter for a chapter's own business.
- Put the link to wherever the vote, the nomination form or the registration actually lives. The Hub carries the link; the other system does the work.
- Schedule the sequence in advance, or with Hub Pro use an Event Campaign so the messages move together if the date changes.
Example
Nominations for three board seats open on the 1st and close on the 31st. The office sends the opening message with the position descriptions to All Members, a reminder two weeks later and a closing-day note. The nomination form is on the organization's own site, and everything that decides the outcome happens there.
Good to know
- A reply is not a vote, a nomination or a ballot. Never ask members to vote by replying.
- The Hub holds no membership roll, no dues record and no eligibility list, so it cannot tell you who is entitled to vote or stand. All Members is everyone currently on your list here, which may include people who are not members in good standing. Your membership system decides.
- Nothing here is a record that a member was notified.
