Send a cancellation or a closure

Get the 5:15 a.m. decision onto every member's phone before they are in the car.

What this helps you do

Sending a Blast delivers your message to the phones and computers of everyone in the audience you pick, and by email to the members who chose email. You can send now, schedule for later, or repeat weekly. The composer supports formatting, links and images, up to three attached files (the new schedule, a floor plan during a refit), a YES / NO reply the Hub counts, and Send a test to me so you see exactly what members will receive.

When to use it

Use it for the messages that fail in email: a class cancelled at 5:15 in the morning, an instructor swapped for one session, a schedule or hours change, a holiday timetable, a facility closure for weather or a burst pipe, an equipment or area out of service, a space that just freed up in a full class, a challenge or program starting, a member event, and the occasional check-in with members who have been away.

How to do it

  • Open Send, or start from one of the starter templates your Hub seeds for cancellations, instructor changes, closures and openings.
  • Pick an audience: one class, one program, one location, the instructors, or All Members.
  • Type the message. Attach the new schedule or a floor plan if it helps (up to three files, 5 MB each).
  • For a challenge sign-up or an opening in a full class, ask for a YES / NO reply and the Hub counts the answers.
  • Read the Delivery panel: one Blasts credit per person on Blasts, one email credit per email.
  • Click Send a test to me, then choose Send now, Schedule for later, or Repeat weekly for the weekly schedule note.
  • If you are sending to All Members, confirm with your passkey or on your phone when asked.

Example

Tuesday, 5:15 a.m. The strength instructor is ill and nobody can cover. The manager picks the 6 AM Strength audience, says the class is cancelled, that bookings have been released in the booking system and that the 7 a.m. has room, and clicks Send now. By 5:25 the read count shows most of the class has seen it, and the front desk only has to call the two who have not.

Good to know

  • An immediate send is held for about a minute so you can cancel it from Sent & Scheduled; nothing is charged for a cancelled Blast.
  • Delivered and read counts come from confirmed actions in the Blasts app, not from tracking pixels, so they tell you who still needs a call. A read is not a confirmation: ask for a YES / NO reply when you need an answer.
  • The Hub does not change a booking. Release or move the booking in your booking system, then say so in the message.
  • Recurring Blasts, such as a Sunday evening note with the week ahead, are managed under Sent & Scheduled: pause, resume or delete them there.
  • If an instructor's Blasts require approval (Settings), their send waits under Sent & Scheduled until an administrator approves it.
  • The Hub suggests the hour your Blasts are read most, based on the last 60 days.
