Give staff and coordinators the right access

Let each staff member manage their area without reaching your whole base.

What this helps you do

You can invite your team and give each person the right level of access, so a program lead or coordinator manages their own area while you keep oversight.

When to use it

Use roles when more than one person sends messages, or when you want a coordinator to run one audience while leadership keeps the broad sends.

How to do it

  • Open the Team screen.
  • Invite a person by email; they sign in as themselves.
  • Pick a role: Owner and Admin reach every audience, a Leader is limited to specific audiences they can send to and read replies from, and a Viewer is read-only.
  • For a Leader, choose which audiences they can send to.

Example

You invite your Volunteer Coordinator as a Leader limited to the Volunteers audience, so she handles shift updates on her own. Your development lead gets Admin to steward donors across every audience, while a board member gets Viewer to read along.

Good to know

  • Everyone signs in with their own account, so you always know who sent what.
  • A Leader only sees replies from the audiences they manage.
  • Use Viewer for someone who should read but not send.
