Send a day-of change

Get a gate change, a weather hold or a delay onto every attendee's phone while they can still act on it.

What this helps you do

Sending a Blast delivers your message to the phones and computers of everyone in the audience you pick, and by email to the attendees who chose email. You can send now, schedule for later, or repeat. The composer supports formatting, links and images (a revised floor plan), up to three attached files, a YES / NO reply the Hub counts, and Send a test to me so you see exactly what attendees will receive.

When to use it

Use it for anything that changes after the plan was printed: a gate or door change, a room or venue change, a schedule change, a speaker or session change, a delay, a weather hold, a safety notice, a cancellation, a parking lot that filled, a shuttle that is running late, or the reminder that doors open in an hour. Campaigns carry the planned arc; Send carries the moment.

How to do it

  • Open Send, or start from one of the starter templates your Hub seeds for arrival, schedule changes and day-of notices.
  • Pick an audience: All Attendees for a safety or gate notice, one day, one track, one wave, or your volunteers.
  • Type the message. Put the change in the first line: an attendee walking to a venue reads one line, not three paragraphs.
  • Attach a revised map or floor plan if it helps (up to three files, 5 MB each).
  • If you need an answer, ask for a YES / NO reply and the Hub counts the answers; for a volunteer gap, YES is the person covering it.
  • Read the Delivery panel: one Blasts credit per person on Blasts, one email credit per email.
  • Click Send a test to me, then choose Send now or Schedule for later.
  • If you are sending to All Attendees, confirm with your passkey or on your phone when asked.

Example

Lightning is twenty minutes out and the main stage goes on hold. The operations manager picks All Attendees, says the show is paused, where indoor shelter is, and that the next update comes by 4 p.m., confirms with a passkey and clicks Send now. Fifteen thousand people know within a minute, the all-clear follows at 3:50, and the information desk answers the handful of replies that come back in Conversations.

Good to know

  • An immediate send is held for about a minute so you can cancel it from Sent & Scheduled; nothing is charged for a cancelled Blast.
  • Practise before event week. A send to All Attendees needs a passkey or a phone approval, and event morning is the wrong moment to discover you have neither.
  • Delivered and read counts come from confirmed actions in the Blasts app, not from tracking pixels. A read is not an acknowledgement: if you need attendees to confirm, ask for a YES / NO reply, which the Hub counts.
  • If a Leader's Blasts require approval (Settings), their send waits under Sent & Scheduled until an administrator approves it. Turn that off for event week if it would slow down a safety notice.
  • The Hub suggests the hour your Blasts are read most, based on the last 60 days.
