What this helps you do
Audiences let you group attendees so updates reach the right people. You always have one All Attendees audience that reaches everyone connected and cannot be deleted. Onboarding seeds a small set of starter audiences you can rename, archive or replace, covering the groups most events have: VIPs, volunteers, staff and crew, exhibitors and vendors, and the people who said yes to hearing about your next event. On top of those you build the ones your event actually runs on: days, tracks, start waves, speakers, venues or rooms. A room change goes to the track it affects; a call sheet goes to volunteers; a safety notice goes to everyone.
When to use it
Use audiences whenever a message only concerns part of the event: one day of a multi-day festival, one track of a conference, one start wave of a race, the exhibitors setting up early, the speakers whose session moved, or your own staff and volunteers.
How to do it
- Open Audiences. The starter set is a menu: rename or archive what does not fit and add what does, such as Track A or Wave 1.
- Choose each audience's join mode: attendees pick it themselves, you assign people, or both. Keep staff and volunteers on organization assigns.
- Let attendees choose what matters to them: on their preferences page they pick the days, tracks and interests they want updates about, and can change them at any time.
- To group people inside a larger audience, set Inside audience to a parent, for example one room inside a track. A child audience only accepts people who are in the parent.
- When you compose or schedule an update, pick the audience it belongs to.
Example
Your conference has two tracks. Attendees self-select Track A or Track B from their preferences, and speakers are assigned to a speakers audience by your team. When a Track A room moves, only Track A hears about it, and nobody learns to ignore your updates. The fire-alarm test at 8 a.m. goes to All Attendees, because that one really is for everyone.
Good to know
- An attendee can belong to as many audiences as apply: Saturday, VIP and Track A at once.
- All Attendees always means everyone currently connected, with no list to maintain, and a send to it asks for a step-up confirmation first.
- Audiences are lists attendees choose or you assign. There are no rule-based or dynamic audiences, so a ticket-type column does not fill an audience by itself; import it, then Bulk assign.
- After the event, archive the audiences you no longer need; the connections stay.
