What this helps you do
Invite the people who send and give each one the right access. Each person signs in as themselves, so the audit trail shows who sent what. Owner and Admin reach every audience. A Leader sends to, and reads replies from, only the audiences you grant: this is where chapter chairs, committee chairs, officers, section conveners and program leads belong. A Viewer reads along without sending. A passkey confirmation is asked when anyone sends to All Members from Send, when someone downloads the people export, and when the owner leaves the Hub.
- Owner: everything, including billing, the Blasts account connection, and leaving the Hub.
- Admin: every audience, team management and integrations; no billing or account connection.
- Leader: sends to, and reads replies from, only the audiences you grant.
- Viewer: read-only reports and history.
When to use it
Use roles as soon as the people who run parts of your organization should send for them: a chapter chair to their chapter, a committee chair to their committee, a program lead to their cohort.
How to do it
- Open Team.
- Invite a person by email and pick a role.
- For a Leader, choose which audiences they can send to and which replies they can read: Coastal Chapter for that chapter's chair, Awards Committee for its chair.
- Review Access requests: nobody gets in unless you approve, and you pick the role first.
- Leader approval is off by default for membership organizations. Turn it on in Settings if an administrator should review Leaders' messages first.
- Add a passkey on Home so the confirmation for an All Members send uses Face ID, Touch ID or your device PIN.
Example
The executive director is Owner; the membership coordinator is Admin; each chapter chair is a Leader granted their own chapter; the education lead is a Leader granted the Fall Cohort. At the annual member meeting the Coastal Chapter elects a new chair: the coordinator grants the new chair Coastal Chapter and removes the outgoing one. The chapter's list, its templates and what was sent all stay where they were.
Good to know
- These roles decide who may send and read replies in the Hub. They are not offices or terms, and the Hub doesn't know who was elected: a person updates the grants when a role changes hands.
- Changing a role or removing someone does not ask for a passkey confirmation. Content Series, Journeys, Event Campaigns and recurring Blasts don't ask either, even when they go to All Members, so decide carefully who may create them.
